Job Description:

We're hiring our first dedicated Operations hire. This is a build role, not a maintenance seat. You'll own the systems that keep a growing company running day to day: the office, vendors, tools, equipment, scheduling, and the coordination work that keeps everyone else moving.

You're the connective tissue. When something needs to get done and it doesn't obviously belong to anyone, it's yours.

The best fit has done ops, office management, EA, or chief-of-staff-adjacent work at an early-stage startup. You're comfortable with technology, you like building from nothing, and you'd rather fix a process than file a ticket about it.

What You’ll Do:

  • Office and workplace. Run the space. Vendors, supplies, food, access, the physical stuff that quietly eats time when nobody owns it.

  • Equipment and tooling. Procure and provision hardware, manage software accounts and access, keep the tool stack organized. Handle the small technical problems before they reach an engineer.

  • Coordination. Scheduling, travel, logistics, offsites, team events, conference presence. You keep calendars and people aligned.

  • Vendor and admin. Contracts, subscriptions, invoices, insurance, the operational paperwork of a company that's growing faster than its processes.

  • Hiring logistics. Interview scheduling and candidate flow. Keep the process moving and make sure nobody goes dark.

  • New hire setup. Equipment, accounts, first-week logistics. People show up and everything works.

  • Executive support. Coverage for leadership as needed.

  • Whatever's next. The role will stretch. Some weeks are office-heavy, some are logistics-heavy, some are whatever broke.

What Success Looks Like (First 90 Days)

  • 30. You know the team, the tools, the vendors, and the gaps. Equipment and accounts get handled without anyone chasing you.

  • 60. The office and the calendar run without leadership thinking about them. Interview scheduling is yours. Vendors and subscriptions are mapped and under control.

  • 90. You own operations end to end. The system runs whether you're in the room or not. You're already fixing things no one asked you to fix.

Ideal Background:

Must-haves

  • Ops, office management, EA, or business operations experience at an early-stage startup

  • Comfortable with technology and basic IT: provisioning, accounts, access, troubleshooting

  • Organized and self-directed. You build the system, then run it, without being managed

  • Strong written communication and good judgment about what needs escalating

  • Based in NYC and able to be in the office regularly

  • Excited to build from scratch and AI-native in how you work

Nice-to-haves

  • Interview coordination or familiarity with a modern ATS

  • Event, offsite, or conference planning

  • Vendor management and light finance admin

  • Fast-scaling startup, several workstreams at once

  • Healthcare or AI background
